Terms of Service

Welcome to GymFlow. These terms are a contract between you and GymFlow governing your use of the website at gymflow.app, the trainer dashboard, and the GymFlow iOS app (collectively, the "Service"). By creating an account or using the Service, you agree to these terms. If you don't agree, don't use the Service.

1. What GymFlow is

GymFlow is a software platform that lets personal trainers manage their clients' workout plans, nutrition plans, and check-ins. We are a tool โ€” not a coach. The actual coaching service is provided by the trainer you sign up with. GymFlow does not provide medical, fitness, or nutritional advice; we provide the platform that lets your trainer deliver theirs.

2. Health disclaimer

Exercise and nutrition advice carry inherent risks. Consult a qualified medical professional before starting any new training or diet programme, particularly if you have a pre-existing condition, are pregnant, or are recovering from an injury. GymFlow and your trainer are not substitutes for medical advice. You use the workout and nutrition plans at your own risk.

3. Accounts

  • You must be at least 16 years old to create an account.
  • Provide accurate information when signing up.
  • Keep your password confidential. You're responsible for activity on your account.
  • One person, one account. Don't share credentials.

4. Trainers and clients

Trainers are responsible for the legality and appropriateness of the workout plans, nutrition plans, and check-in questions they create. Trainers must hold any qualifications required by their jurisdiction to provide coaching services.

Clients are responsible for following the plans appropriately and stopping immediately if they experience pain, injury, or medical concerns.

GymFlow is not party to the coaching relationship between trainers and clients. Disputes about the quality of coaching, missed sessions, or the delivery of services are between the trainer and client directly.

5. Subscriptions and payments

  • Clients subscribe to a tier set by their trainer. Pricing is shown on the trainer's public page before purchase.
  • Payments are processed by Stripe. Your card details never reach our servers.
  • Subscriptions auto-renew until you cancel. You can cancel any time via your trainer's manage-subscription link or by contacting your trainer directly.
  • GymFlow takes a 5% platform fee on each subscription payment. Stripe also charges its standard processing fee. The remainder goes to the trainer.
  • Refunds are at the trainer's discretion. GymFlow does not issue refunds directly.

6. Cancellation

  • You can cancel your subscription at any time. Cancellation takes effect at the end of the current billing period โ€” you keep access until then.
  • If you cancel, you can resubscribe at any time at the price published at that point.
  • The trainer can also cancel a client's subscription (e.g., if the coaching relationship ends).

7. Acceptable use

You agree not to:

  • Use the Service for anything illegal, fraudulent, or harmful.
  • Upload content that is unlawful, defamatory, harassing, or violates someone's intellectual property.
  • Attempt to access another user's account, decompile our software, or interfere with the operation of the Service.
  • Use automated tools (scrapers, bots) without our written permission.
  • Resell, sublicense, or repackage GymFlow without our written permission.

We may suspend or terminate accounts that violate these rules.

8. Your content

Workout plans, nutrition plans, photos, and check-in answers you upload remain yours. By uploading, you grant GymFlow a limited licence to host, display, and process the content as needed to deliver the Service to you and your trainer/clients. You retain all rights and can delete the content at any time.

9. Service availability

We aim for high availability but we don't guarantee the Service will be uninterrupted or error-free. We may take the Service down for maintenance with reasonable notice. We won't be liable for downtime or lost data beyond what's covered in section 11 below.

10. Termination

You can delete your account at any time by emailing hello@gymflow.coach or via the iOS / dashboard delete-account flow. We may terminate accounts that violate these terms or that are inactive for more than 12 months. On termination, we delete your personal data within 30 days, retaining only billing records as required by tax law.

11. Limitation of liability

To the maximum extent permitted by law, GymFlow's total liability to you for any claim arising from the Service is capped at the total fees you paid to GymFlow (not to the trainer) in the 12 months preceding the claim. We are not liable for indirect, incidental, or consequential damages, including lost profits, data, or goodwill.

Nothing in these terms limits our liability for fraud, gross negligence, or any liability that cannot be excluded by law (including death or personal injury caused by our negligence).

12. Intellectual property

The GymFlow name, logo, and platform code are owned by us. Trainers' plans and clients' uploads are owned by their authors. Don't copy or redistribute either without permission.

13. Changes to the terms

We may update these terms occasionally. If changes materially affect your rights, we'll email active users at least 14 days before the changes take effect. Continued use of the Service after that date means you accept the new terms.

14. Governing law

These terms are governed by the laws of England and Wales. Any dispute will be heard exclusively in the courts of England and Wales, unless you are a consumer in another jurisdiction, in which case mandatory local consumer protections apply.
